
Brief
The client had an operational form set in Excel. However, Excel is not a design tool and its formatting can feel limited for customer-facing documents. The request: recreate the system as brand-aligned Word forms that look deliberate, are easy to complete, and export cleanly to print or PDF for internal users and suppliers. We confirmed we could match the styling in Excel, but the team chose a Word template route for clearer typography, better pagination and more readable outputs.
Approach
We translated the supplied visual direction into a disciplined Word layout: a clear grid, heading hierarchy, labelled input rows and concise helper text. Using content controls (text fields, dropdowns, date pickers and checkboxes) we made completion simple and reduced errors. Section protection preserves layout while allowing data entry; a logical tab order speeds navigation. We set page setup for paper sizes in use, aligned headers/footers and page numbers, and added print/PDF presets so exports are crisp and consistent. Finally, we tested with sample data from users and suppliers to confirm fit and readability.
Outcome
Forms now read clearly on screen and print neatly without manual tweaks. Users complete them faster, suppliers receive consistent PDFs, and brand alignment holds because spacing and type are style-driven. The template system is easy to extend, so additional forms can be added with minimal effort while maintaining the same professional finish.
